Office is based in Belfast (Airport Road) - Permanent role

This is a Monday - Friday (8.30am - 4.30pm) position.

Responsibilities:

  • Reception Duties: Greeting visitors in a positive, professional and friendly manner. Managing phone calls and correspondence (letters, posting, scanning, phone calls, intercom). Managing meeting rooms ensuring that they are always maintained to a high standard.
  • Office Management: Oversee the day-to-day operations of the office, including maintaining office supplies, managing office equipment, orders, and ensuring a tidy and organised workspace.
  • Administrative Support: Provide administrative support to various departments, including scheduling meetings, managing calendars, and handling correspondence.
  • Data Entry: Maintain accurate records, databases, and filing systems, ensuring confidentiality and security of sensitive information.
  • Financial Administration & HR Support: Support the finance team with basic bookkeeping tasks, including processing invoices and expense/petty cash reports. Assist with HR tasks such as onboarding new employees, maintaining employee records, and coordinating training sessions.

The Ideal Person:

  • Proven experience in a front of house receptionist role, preferably in a corporate or office environment.
  • Excellent verbal and written communication skills.
  • Friendly, professional, and approachable manner.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
