As a member of the Finance Team the post holder will be required to provide a comprehensive administrative/ clerical service to the professional and support staff within Finance team. They will also have to ensure all responsibilities are carried out in a timely, effective manner and that general confidentially is maintained on all issues relating to the workload.
What you'll do
Administrative Support
- Perform general administrative tasks such as filing, photocopying, handling correspondence, and updating records.
- Maintain accurate and organised financial documentation, including invoices, receipts, and records of transactions.
- Assist with the preparation of financial reports, summaries, and spreadsheets as required by the Finance Team.
Financial Data Entry and Management
- Input and update financial data into the financial management system, ensuring accuracy and consistency.
- Monitor and maintain the integrity of data entries, promptly addressing any discrepancies.
- Track and process invoices, receipts, and other finance-related documents in line with protocols.
Customer Service and Liaison
- Act as a point of contact for internal and external inquiries related to finance, providing accurate and helpful information.
- Handle requests and queries from other departments, contractors, and suppliers with professionalism.
- Support the resolution of finance-related queries, ensuring a high level of service.
Documentation and Reporting
- Assist in preparing and distributing routine financial reports, summaries, and statements as directed by the Finance Manager.
- Ensure compliance with policies and procedures regarding data protection and confidentiality.
- Maintain organised and up-to-date digital and paper records to facilitate audits and financial reviews.
Support for Finance Team Operations
- Assist in departmental projects, including data gathering, report compilation, and preparation of financial presentations.
- Coordinate and support meetings within the Finance Team, taking minutes when required and ensuring distribution of necessary materials.
Compliance and Confidentiality
- Adhere to all policies regarding finance, data protection, and confidentiality.
- Ensure accurate records and compliant handling of financial data in line with regulatory standards.
Other Duties
- Undertake any additional duties as required to support the Finance Team and overall objectives.
About you
Essential:
- GCSEs in English and Maths (A*-C) or equivalent.
- Basic understanding of finance or accounting principles.
- Familiarity with administrative practices, especially within a finance or accounts department.
Essential Skills and Experience:
- Proven experience in an administrative role, ideally within a finance or accounts team.
- Strong data entry skills with a high level of accuracy and attention to detail.
- Proficient in Microsoft Office Suite, particularly Excel, with the ability to create and manipulate spreadsheets.
- Good verbal and written communication skills, able to handle queries and draft concise reports.
