The Client:

VANRATH are delighted to be recruiting for an Office Manager on behalf of our client, one of NI’s top law firms in Belfast City Centre. This will be a permanent part time position. This role requires a highly motivated individual with experience in a professional services environment along with an ability to demonstrate management and leadership.

The Role:

  • Set and manage the annual PPM schedule within approved budget
  • Ensure reactive repairs are completed within approved budget
  • Act as firm’s main point of contact, liaising with suppliers/contractors on building projects and repairs
  • Manage the cleaning contract and the performance of contract cleaners
  • Manage the provision of car-parking spaces ensuring value for money
  • Coordinate internal office moves and maintain up to date floor plans
  • Responsible for management of Front of House team and reception
  • Ensure provision of high-quality room booking and hospitality service
  • Manage an efficient and cost-effective mail delivery system; internal and external
  • Develop and manage a rota for hand deliveries and court work
  • Manage the stationary contract and ensure appropriate levels of stationary stock are available at all times
  • Ensure compliance with legal and regulatory obligations, organising external assessment as required.
  • Organise and co-ordinate internal H&S activities including testing of fire evacuation procedure and alarms
  • Lead, manage and develop team members
  • Be involved in selection of new team members
  • Develop and demonstrate management and leadership behaviours and values
  • Quality Management – Adopt recognised Quality standards, leading by example and ensuring team members comply
  • Oversee budgeting and cost savings in respect of facilities management

Essential Criteria:

  • Demonstrable experience of working in a facilities / office management role
  • Working knowledge of Health & Safety legislative requirements
  • A professional manner with strong verbal and written communication skills
  • Proven ability in managing staff and contractors
  • A team player with a flexible approach and willingness to take on additional duties as and when required
