Overview
The post holder will be responsible for the provision of a wide-ranging, professional and customer led Reception service to all users including Elected Members, staff, customers, contractors and the general public visiting the relevant Office.

What you'll do

    • Ensure the smooth operation of the reception area, providing a courteous and efficient service, receiving and assisting all members of the public, contractors, Elected Members and other Officers calling at the offices and signposting them where necessary.
    • Deal with all Reception desk enquiries issuing relevant information on services, special events and initiatives.
    • Answer incoming calls in a timely and professional manner using the voice telephony system, providing advice and information as necessary.
    • Issue visitor and contractor passes and either advise the appropriate Officer of their arrival or direct them to the appropriate meeting room.
    • Keep the reception area tidy and clean and ensure that all displays and notice boards are kept up to date.
    • Operate as necessary the internal public address systems including the making of announcements, and to operate when required access control and automated systems located at reception areas, where appropriate.
    • Assist in the implementation of relevant security measures and ensure that the closed circuit television security system is continuously in operation reporting any faults to the Waste & Building Services section, where appropriate.
    • Assist customers, when required, to accurately complete the forms and photocopy appropriate documentation in accordance with written procedures.
    • Receive, sign for and record hand delivered post and parcels and ensure that the appropriate person is contacted to collect such items.
    • Provide an internal room booking service, where appropriate.
    • Assist all visitors, contractors and members of the public in adhering to the prevailing evacuation procedures.
    • Provide assistance and training to relief Receptionists as required.

Service Delivery - Cashiering

    • Deal efficiently and politely with all stakeholders at cash desk area, receipting and lodging all income received via internal and external post is recorded in a timely basis.
    • Ensure that all aspects of cash handling, banking and recording of money received is in line with the agreed financial procedures.
    • Post all income to the computerised accounts system ensuring valid income codes and VAT rates are used for each transaction.
    • Operate credit/debit card machines for income transactions ensuring customer details are kept safe and secure at alltimes.
    • Prepare daily lodgements for bank and reconcile to management reports to ensure accuracy and security at all times, to include checking of all cash/cheques to ensure no counterfeit monies are received.
    • Allocate payments received against appropriate invoices and debtors accounts on the Council's accounts package.
    • Process all online dog licence applications via the Tascomi package and worldpay system.
    • Assist all departments in the progression of digitalisation of income transactions via various portals including but not limited to Tascomi and Legends Leisure system.


About you
Applicants must:

Have a minimum of 5 GCSEs (Grade A-C) to include Maths and English or equivalent qualifications to demonstrate numeracy and literacy

AND

Be able to demonstrate, by providing personal and specific examples, that they have 2 years' experience working within a customer service environment, to include:

  • Dealing effectively with the general public;
  • Efficient use of computerised accounting packages; and
  • Effective cash handling, to include credit/debit card machine.


OR, for candidates who do not meet the qualification requirements as outlined above:

Be able to demonstrate, by providing personal and specific examples, that they have 4 years' experience working within a customer service environment, to include:

  • Dealing effectively with the public;
  • Efficient use of computerised accounting packages; and
  • Effective cash handling, to include credit/debit card machine.
