Personal Assistant to Director (Maternity Cover)
Location: Belfast
Salary: £23,000 - £30,000
VANRATH is delighted to support a key client in their search for a Personal Assistant to the Director to join their team on a fixed-term maternity cover basis. This role offers a fantastic opportunity to work closely with senior leadership in a fast-paced and dynamic environment.
Role Overview
The successful candidate will provide professional, efficient, and confidential support to the Director. Key responsibilities include managing diaries, coordinating meetings, handling internal and external communications, and supporting various strategic projects to ensure timely and on-budget delivery.
Key Responsibilities:
- Serve as the principal point of contact for the Director, managing communications and prioritising urgent matters.
- Oversee diary management, ensuring effective time prioritisation and scheduling.
- Draft correspondence, presentations, and reports on behalf of the Director.
- Coordinate meetings, including preparation and distribution of agendas, minutes, and follow-up actions.
- Liaise with internal teams and external stakeholders to ensure smooth workflow and communications.
- Support the Director with project planning and tracking, ensuring all deliverables are met.
- Maintain accurate and secure records and filing systems.
Essential Criteria:
- GCSE English and Maths at grade C or above (or equivalent), plus 2 years' experience in a similar role, or 3 years' experience without qualifications.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Proven experience managing diaries for senior management.
- Strong organisational, communication, and prioritisation skills.
- High level of discretion and understanding of confidentiality.
Desirable Criteria:
- Educated to A-Level standard or equivalent.
- European Computer Driving Licence (ECDL) or equivalent certification.
- Experience in minute-taking and drafting formal correspondence.
