Job Description
VANRATH is pleased to be working with a public sector client in Belfast to recruit a highly professional Executive Assistant. This temporary role requires an individual with exceptional organisational skills, discretion, and a proactive approach to supporting senior leadership.

  • Salary: £31,000
  • Monday to Friday - 9am-5pm (Some flex avaialble)

The Person

  • A minimum of 5 GCSEs (or equivalent) at Grade C or above, including English and Mathematics.
  • Proven experience of at least 3 years in an Executive Assistant or similar senior administrative role, supporting high-level management.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), including advanced Excel skills (pivot tables, data analysis, and reporting).
  • Excellent organisational skills with the ability to manage complex diaries, coordinate multiple priorities, and meet tight deadlines.
  • Ability to take minutes.
  • Exceptional communication skills, both written and verbal, with a high level of professionalism when interacting with internal and external stakeholders.
  • Discretion and the ability to handle sensitive and confidential information with integrity.
  • Strong attention to detail, accuracy, and a proactive approach to problem-solving.
  • Excellent time management skills, with the ability to prioritise tasks and manage competing demands effectively.


The Role

  • Provide comprehensive administrative support to senior management, including managing complex calendars, arranging meetings, and prioritising requests.
  • Prepare, edit, and proofread correspondence, reports, presentations, and other high-level documents.
  • Coordinate and manage complex travel arrangements, including booking flights, accommodation, and preparing itineraries.
  • Liaise with internal and external stakeholders to ensure smooth communication and flow of information.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Act as the primary point of contact for senior management, filtering requests, answering queries, and providing timely responses.
  • Take minutes at meetings, compile reports, and follow up on action points as required.
  • Assist with the coordination of events, conferences, and workshops, ensuring all logistics are handled efficiently.
  • Manage filing systems and ensure all records are kept up to date, accurate, and accessible.
  • Monitor and manage expenses, ensuring compliance with the organisation's financial procedures.
  • Provide general support across various departments as required, including project coordination and reporting.
