VANRATH are recruiting on behalf of a client based in Belfast, who are seeking an experienced Executive Assistant to join their team on a temporary basis, with the potential to become permanent.

As an Executive Assistant, you will provide high-level support to senior executives, playing a key role in the day-to-day operations, managing schedules, coordinating meetings, and handling sensitive information with discretion.
The Person
- Proven experience as an Executive Assistant or in a similar administrative role, preferably supporting senior management.
- Excellent organisational skills with a strong ability to manage multiple priorities and deadlines effectively.
- Outstanding verbal and written communication skills, with the ability to interact professionally with stakeholders at all levels.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with bespoke publishing software.
- Strong attention to detail and the ability to produce high-quality documents and reports.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility and adaptability to take on new responsibilities and adjust to changing priorities as required.
- Strong problem-solving skills, with the ability to work independently and proactively.
The Role
- Manage executives' schedules, including appointments, meetings, and travel arrangements.
- Prepare and organise documents for meetings and presentations.
- Serve as the primary point of contact between executives and stakeholders, handling incoming calls and inquiries.
- Coordinate meetings, including logistics and catering, and prepare agendas and minutes.
- Conduct research and compile data for reports and presentations while assisting with project coordination.
- Maintain filing systems and oversee office supplies inventory, ensuring efficient organisation.
- Handle sensitive information with discretion and assist with budget tracking and expense reporting.
- Collaborate with other administrative staff to support overall team effectiveness and contribute to discussions.
