Job Description

Vanrath are recruiting for a Data Protection Support and Training Assistant on behalf of a large public sector body in Lisburn on a temporary basis.

What you'll do
To support the Data Protection Officer (DPO) in meeting the Council's data protection obligations by assisting in the design, implementation, and training of effective policies and processes. The role involves promoting a culture of compliance across all Council Units to support best practices in data protection.

About you

Policy and Process Support

  • Assist the DPO in developing, updating, and implementing data protection policies, procedures, and guidelines.
  • Support in evaluating Council policies and processes to identify areas for improvement and ensure compliance with data protection laws and regulations (e.g., GDPR, Data Protection Act).
  • Contribute to audits and reviews to assess compliance levels across departments.

Training and Awareness

  • Develop, schedule, and deliver training sessions on data protection to all levels of Council employees.
  • Create resources such as guides, e-learning modules, and informational materials to enhance data protection awareness.
  • Act as a point of contact for employee queries related to data protection best practices and compliance issues.

Data Incident and Breach Management

  • Support the DPO in managing data breaches and incidents, including reporting, investigating, and documenting breaches.
  • Maintain logs of data incidents and ensure appropriate follow-up actions and risk mitigations are implemented.

Data Subject Requests

  • Assist in handling Data Subject Access Requests (DSARs) and other rights-related requests, ensuring responses meet legislative timeframes and quality standards.
  • Coordinate with internal teams to collate necessary information for timely responses to data subject inquiries.

Documentation and Record-Keeping

  • Maintain records of processing activities and ensure accuracy and currency of records in line with Council requirements.
  • Assist in the management and archiving of data protection-related documentation.

Liaison and Support

  • Collaborate with other Units to embed a data protection-compliant culture and provide guidance on relevant issues.
  • Support the DPO in coordinating data protection-related activities with external bodies, partners, and regulatory authorities.

Project Involvement

  • Support the DPO in data protection impact assessments (DPIAs) and other projects to ensure alignment with privacy-by-design principles.
  • Contribute to projects focused on IT, data innovation, and commercialisation, providing data protection insights.

Compliance Monitoring and Reporting

  • Participate in monitoring the Council's compliance with data protection legislation, reporting on findings and suggesting improvements.
  • Assist in compiling reports on data protection activities, including training attendance, incident management outcomes, and compliance audit findings.


Essential Criteria
Qualifications:

  • A degree or equivalent qualification in a relevant discipline (e.g., Law, Information Technology, Data Protection, Compliance)
    or a combination of relevant certifications and experience.

Experience:

  • A minimum of two years of experience in a data protection, compliance, or similar regulatory environment.
  • Demonstrated experience in developing, implementing, or supporting data protection-related policies, processes, or training programs.

Desirable Criteria

  • Professional certification in data protection or privacy (e.g., CIPP/E, CIPM, GDPR Practitioner).
  • Experience working in a public sector or local government setting.
  • Familiarity with conducting DPIAs and responding to DSARs.
  • Experience in managing data incidents, including reporting, investigating, and mitigating risks.
