About the Role

VANRATH is partnering with the NI Assembly to recruit a Clerical Supervisor for an initial 3-month contract. This role is critical in supporting both the legislative and corporate functions of the Assembly, ensuring the smooth operation of committees, plenary sessions, and administrative processes.

Key Responsibilities

  • Meeting Support: Preparing agendas, papers, and minutes, ensuring timely follow-ups.
  • Stakeholder Engagement: Maintaining relationships with MLAs, managers, and public officials.
  • Procedural & Policy Guidance: Providing advice to Members and staff on Assembly procedures.
  • Correspondence & Reporting: Drafting professional documents, handling information requests, and ensuring compliance with statutory requirements.
  • Financial & Resource Management: Monitoring budgets, processing payments, and managing records.
  • Team Leadership: Managing a small team, ensuring high service standards and staff development.
  • IT & Administration: Using Microsoft Office and internal systems for document production and data management.
  • Media & Communications: Publishing content on Assembly platforms and social media.

Essential Criteria

Applicants must meet one of the following:

- A degree (2:2 or above) in any subject. (Equivalent or higher qualifications will be considered.)
OR

- Four years' relevant experience in the areas outlined below.

Additionally, applicants must have at least two years' experience (or four years if no degree) in each of the following:

Planning & Organisation: Managing workload independently, delivering high-quality work to strict deadlines.

Communication: Clearly and accurately conveying complex or detailed information, both in writing and verbally, to stakeholders such as managers, colleagues, customers, or members of the public.

Resource Management: Contributing to the planning, allocation, monitoring, and evaluation of resources, such as personnel or finances.

IT Proficiency: Effectively using Microsoft Office (Word, Excel, Outlook, PowerPoint) to manage information, create documents, and support service delivery.
