VANRATH are recruiting on behalf of a well-established organisation based in Greater Belfast, who are seeking an experienced Administrator to join their team on a temporary basis, with potential to become permanent.

As an Administrator, you will play a vital role in maintaining records, handling confidential data, completing administrative tasks, and reception cover, including directing calls.

The Person

  • NVQ Level 3 (or equivalent) in Business Administration with 6 months' office experience, or 5 GCSEs including grade 'C' in English and Maths with 2 years' experience - or 4 years' relevant experience for those without these qualifications.
  • Excellent communication skills, both written and verbal.
  • Strong administrative skills with the ability to prioritise workload effectively.
  • Willingness to undertake mandatory training for ongoing personal development.
  • Ability to maintain confidentiality, particularly with sensitive information.
  • Can work under pressure and handle multiple tasks efficiently.
  • Willingness to complete an Access NI check as required.

The Role

  • Provide reception cover, handling phone queries, managing switchboard operations, and greeting visitors.
  • Process and log incident reports, ensuring compliance with service agreements and maintaining summary incident records.
  • Maintain secure and confidential records of service users' information, ensuring data protection compliance.
  • Collate and update monthly staff attendance reports and manage supervision records for the social care workforce.
  • Offer administrative support to senior management when necessary.
  • Carry out general clerical duties, such as typing, filing, and managing documents efficiently.
  • Attend meetings, take minutes, and prepare detailed reports, ensuring accurate and timely communication.
  • Assist with daily correspondence between staff, regulatory bodies, and stakeholders on behalf of Social Care Managers.
  • Ensure service user data confidentiality and compliance with all statutory and regulatory requirements.
  • Provide additional administrative support as needed to facilitate smooth organisational operations.
