We are recruiting on behalf of a well-established organisation based in Holywood, who are seeking an experienced Administrator to join their team on a temporary basis, with the potential to become permanent.

As an Administrator, you will play a key role in maintaining records, managing confidential data, performing administrative tasks, and providing reception cover, including managing calls.
The Person

  • NVQ Level 3 (or equivalent) in Business Administration with at least 6 months of office experience, or 5 GCSEs including English and Maths at grade 'C' or above, with 2 years' experience-or 4 years' relevant experience if qualifications are not met.
  • Strong verbal and written communication skills.
  • Excellent administrative abilities, with a talent for organising and prioritising tasks effectively.
  • Eagerness to participate in required training for ongoing professional development.
  • Ability to handle sensitive information discreetly and maintain strict confidentiality.
  • Capable of managing multiple tasks under pressure in a fast-paced environment.
  • Willing to undergo an Access NI background check, as needed.


The Role

  • Provide front desk coverage by handling phone inquiries, managing the switchboard, and welcoming visitors.
  • Record and process incident reports to ensure compliance with service agreements, while maintaining accurate summary records.
  • Ensure the confidentiality and accuracy of service user records, adhering to data protection standards.
  • Compile and update monthly staff attendance records and manage supervision documentation for the social care team.
  • Support general administrative tasks, including document preparation, filing, and organisation.
  • Attend meetings, take notes, produce minutes, and prepare comprehensive reports to ensure clear and timely communication.
  • Assist in managing day-to-day correspondence with staff, regulatory bodies, and stakeholders on behalf of Social Care Managers.
  • Safeguard the confidentiality of service user data and ensure full compliance with regulatory and statutory obligations.
  • Offer additional administrative support as required to ensure the smooth running of operations.
